What to Include in a Software Project Brief

By FenvoraTech Team ·

A good brief does not need to be long. It needs to answer the questions a development team would otherwise have to guess at. Use this checklist.

1. The problem, not just the solution

Start with what is going wrong or what opportunity you want to take. "Customers can't find our opening hours" is more useful than "we need a new homepage", because it lets the team propose options.

2. Who will use it

List the main types of user: customers, staff, administrators. For each one, note what they need to do. Two or three short sentences per group is enough.

3. The must-have features

Write the actions the system must support, for example "a customer can submit an enquiry" or "an administrator can publish a blog post". Separate these from nice-to-haves, so scope can be controlled if time or budget is tight.

4. Content and data

Who provides the text, images and product or course data, and when? Late content is one of the most common causes of delay. If data already exists in spreadsheets or another system, say so.

5. Existing systems and integrations

Mention payment providers, email services, accounting tools or an existing website. Integrations affect both cost and timeline.

6. Examples you like and dislike

Links to a few sites or apps, with a note on what you like about each, communicate taste faster than adjectives.

7. Constraints

Include a target launch date and the reason for it, a rough budget range, and any technical or compliance constraints such as hosting location or data-privacy rules.

8. How you will decide

Name who approves designs and who answers questions. A single decision-maker keeps feedback consistent.

If you have a rough idea but not a full brief, that is fine. Tell us about your project and we will help turn it into a clear scope.
